Entering New RX/Patient from Fax

This is a step-by-step guide for Windows Explorer, Google Chrome, Phw.exe, and Adobe Acrobat

Open the email attached with our fax; any email from Ring Central is normally a fax sent or received.

Open most recent Ring Central email.

After opening email let's examine what is the contents/purpose of the fax. This email was an new DME order for new patient. Check exactly what was sent, in the example we received patient's demo, prescription and last visit notes.

Open PRIMERX and enter new patient. On the top left corner under "PATIENT" we can begin to add the patient to the system. Following the chart from left to right you'll need to enter last name, first name, gender, address, telephone number and patient's insurance.

You will always want to double check your work, so make sure the patient demographics provided from the doctor's office matches what you entered in PRIMERX.

Entering insurance type/policy can be tricky, if the patient has a commercial insurance plan then we can simply look it up by using the feature on PRIMERX called "Eligibility Check" In the corner of entering a new patient there is the option to run eligibility.

Once you decided to check for eligibility PRIMERX is going to ask to save the patient information. ALWAYS press yes! Otherwise all the patient information you were entering will be deleted and you'll have to do it again.

Once the eligibility check has opened you'll want to make sure the spelling of the name and date of birth is correct. If it's incorrect then no information will populate. Once information is confirmed skip down to "Insurance To Send Eligibility"

Since we are looking up a commercial plan you must select the commercial eligibility.

After changing to commercial eligibility we have the change the Patient ID to state "1"

Now that we have the setting changed we can go ahead and press transmit.

Eligibility approved means we successfully located an insurance for the patient and we can go ahead and press "update patient info" so that it will automatically save to patient's file.

After saving the eligibility, you will be returned back to the patient intake. In the bottom right corner we must press save! Otherwise we lose everything we just worked on so far.

Now it's time to enter the prescriber. We can enter by using their name of NPI. By name it is the same format as looking up by patient; so last name, first name. Or you can type prescriber's NPI into the name section under the prescriber section.

Once we locate the prescriber, just make sure all the information matches. The name, prescriber's address and telephone number must be the same that is written on the prescription.

Multiple options might appear, certain equipment has multiple items to their system. Just check what is written on the prescription so that we can ensure we are typing for the correct item

Check the quantity the prescriber wrote! Often the quantity the prescriber is prescribing is going to hint at the day supply and how often the patient is using the item

After filling in the quantity and signature (directions on how to use) PRIMERX redirects you to the right side of the screen. From top to bottom you will have to fill in the following information. Order date (Date the RX was written), fill date (present day), day supply, auth refills (refills prescriber wrote on the RX), RX origin (how did we get the RX/form of RX) Once all entered continue to hit "enter" until you reach the bottom and type "H" to hold the RX

On the top again with the multiple tabs, move over to the left and click on notes. The notes section is for internal use, this is a form of tracking the progress with the order.

In the note we will type our progress so far. --- For this order we have the RX and notes so we can leave a note stating "GOT RX AND NOTES"
