How To Manage Bookings with Fingertip's Appointment Scheduler

This tool allows you to sync with your calendar, ensuring availability when sharing booking links or managing bookings within the platform. We'll cover steps such as connecting your email, setting up event types, and configuring availability. Additionally, we'll explore options for charging for appointments and adding custom questions. By the end, you'll be able to efficiently manage your schedule and integrate the booking tool into your website if needed.

Hello, everyone.Ollie here from Fingertip.I will show you how easy it is to set up your appointment scheduler using Fingertip.It syncs with your calendar to ensure you're available when sharing a booking link with your audience or managing bookings within the Fingertip platform.On your homepage, you'll notice that the appointment scheduler hasn't been set up yet.
You can either click "Start Here" or go to the "Appointment Scheduling" tab.Let's get started.

Click the 'Start' button next to 'Set up scheduling' in the 'Let's get you set up!' section on the right side of the homepage.
Here are some of the key steps.

Once ready, the first step is to connect our email.

Click the Continue button.

Type 'olly' into the email input field.
Ollie at Fingertip will continue.

Click on the 'OLLY@fingertip.com' email suggestion from the dropdown list.

Click the Continue button.
Then, we simply connect using Google.

In the 'Sign in with Google' pop-up, click on your account (e.g., 'Olly Hoffman olly@fingertip.com').
We grant the necessary permissions.

In the 'Sign in to Fingertip.com' pop-up, click the Continue button.

In the 'Fingertip.com wants to access your Google Account' pop-up, click the Continue button.
And that's essentially it.It's that easy to sync your calendar with Fingertip.Here, you can see which calendar you want to connect to.

Under 'Appointment calendar', select the radio button for the calendar where new bookings will be created (e.g., 'Fingertip Team' or your personal email).

Under 'Sync events', check the boxes for the calendars from which to pull events (e.g., 'Fingertip Team' and/or your personal email).
You can choose the sync period to determine how far in advance you want it to pick up your appointments.

Under 'Sync period', click the 'before' dropdown and select the number of months to sync past events.

Under 'Sync period', click the 'after' dropdown and select the number of months to sync future events.
Alternatively, if you use a conferencing tool, you can choose whether to use Google Meet or not.

Under 'Video conferencing', select the radio button for your preferred option (e.g., 'Google Meet' or 'No conferencing').

Click the 'Continue' button located at the bottom of the screen.
The first step is to set up an event type.An event type is what your customers can book through your link.You can choose a one-on-one booking, such as a consultation or a meeting.

On the 'What type of booking do you want to set up?' screen, click the '1:1 bookings' option to configure individual sessions.
You can also set up group bookings, either in-person or online.

Alternatively, on the 'What type of booking do you want to set up?' screen, click the 'Group bookings' option to configure sessions for multiple participants.
Let's set up a one-on-one booking for a 30-minute personal training session.

Click the '1:1 bookings' option on the 'What type of booking do you want to set up?' page.

On the 'Let's set up your 1:1 booking' page, click in the 'Event name' field.

Type '30 minute' in the 'Event name' field.

Click '30 minute Session' from the suggestions dropdown below the 'Event name' field.

Type ' - Personal Training' into the 'Event name' field, after '30 Minute Session'.
In 30 minutes, we can use our AI to write a description based on the title.

Click the 'Write with AI ✨' button located under the 'Description (optional)' text area.

In the 'Write with AI' pop-up, click the 'Autocomplete prompt' radio button option.

After the AI generates the description, click the 'Insert' button.

Now, we can add an image.
We can use Unsplash or upload our own images.

Then we continue.

Click the "Continue" button on the "Let's set up your 1:1 booking" page.
The next question is: Where will this meeting take place?Will it be a video conference call?
Will it be a phone call?Will it be in person?If it's in person, will it be at my address or yours?

On the "Where will this event take place?" screen, click the "In-person meeting" option.

Click the "My address" radio button.
If it's at my address, let's say it's going to be at Bondi Beach.

Type "bondi beach" into the address input field.
Great.

Click on "Bondi Beach NSW, Australia" from the address suggestions dropdown.

Next, we need to set up the availabilities.You can set different availability for each event.Some might do this on the weekend.Some tasks you might only do on weekdays. I'll show you how easy it is to edit these availability schedules.

Click the 'Edit schedule' button.

Type your desired name in the 'Schedule name' field.
You can rename it.You can change the time zone and customize each day with different time slots. You can also copy these time slots to other days.

Click the 'Time zone' dropdown to select your time zone.

Click the start time input for a specific day (e.g., Monday) to adjust it.

Click the end time input for a specific day (e.g., Monday) to adjust it.

Click the '+' button next to a day's time slot to add another interval.

Click the three dots (more options) button next to a configured day's time slots to copy times.

In the 'Copy times to' menu, toggle the switch for each day you want to copy the times to (e.g., Tuesday).

Click the 'Apply' button in the 'Copy times to' menu.
Once you're satisfied with your availability, click Next.

Click the 'Save changes' button at the bottom of the 'Update schedule' dialog.

Click the 'Continue' button after setting up your availability.
The next important question is: Are we going to charge money for this?It will ask us to connect with our Stripe account.

On the 'Will you be charging money for this event?' screen, click the 'Yes' button if you intend to charge.
There are three ways to make money.

To collect upfront payments, click the 'Collect upfront payments' option.
You can collect payments in advance.You can collect their card details to charge them after the appointment, or you can accept an in-person payment and simply display the price.

To charge the attendee after the booking, click the 'Charge the attendee after the booking' option.

To accept in-person payment, click the 'In-person payment' option.
In this instance, we won't charge any money.

Click the No button for 'Will you be charging money for this event?'
You can add approvals to each booking.
You might open your calendar to your audience.However, you may want to approve people before it's confirmed.

Click the No button for 'Would you like to approve each booking before the invite is sent to the customer?'
You can also add additional questions for people when they make bookings.

In the 'Question #1' text field, type 'Do you have any injuries?'

That's essentially it.You can view all your different event types here. When you go to your calendar, you can see all your personal synced events.

You can view it in a weekly format.

You can view it in a month view or a list view.

The great thing about our calendar is that you can share it with your audience for bookings, and you can also make bookings yourself.

On the weekly calendar, click and drag over a desired time slot to initiate a booking or block time.
You can click, drag, and drop to block out time or create a booking. Then, select a contact.

From the context menu that appears after dragging, click 'Create booking'.

In the 'Custom booking' pop-up, under 'Select contact', click to choose a contact from the list (e.g., 'Oliy').
Let's say it will be Ollie over here.You can choose your preferred training type.

Under 'Select event type', click the 'Book' button for the desired event (e.g., '30 Minute Session - Personal Training').
You can book multiple sessions.

After the event type is selected and any options are configured, click the 'Done' button.
You can see the address here.You can customize the event's duration and add a $10 fee.

Click the 'Customize event' button at the bottom of the booking details pop-up.

In the 'Customize booking' pop-up, click into the 'Custom price for this event' input field.

From the dropdown menu that appears below the price field, select '10'.

To confirm the booking, the attendee must pay $10 upfront.Then we confirm.

Click the 'Confirm booking' button at the bottom right of the booking details pop-up.
And that's essentially it.You can see the appointments here, which you can click on to edit or cancel.

On the calendar, click the event block for '30 Minute Session - Personal Training'.

You can now view all your different event types here.
