Managing Bookings with eviivo and QuickBooks: A Quick Guide
Learn how to efficiently manage bookings using eviivo and QuickBooks. This guide provides insights into handling reservations, ensuring accurate financial records, and optimizing communication with platforms like Airbnb.
In this guide, we'll learn how to manage reservations and ensure accurate communication using eviivo, QuickBooks, and Todoist. This process involves checking reservation details, verifying email addresses, and ensuring financial records match across platforms. The goal is to prevent communication errors and maintain accurate records, especially during busy periods. By following these steps, you can streamline your workflow and reduce the risk of oversight.
Let's get started
Hi, I'm going to quickly show you what I've been working on. I believe I showed you... This is intended specifically for David. I believe I showed you in person what I do, but I'm not sure if I created a guide for it. I decided to create a quick guide.
This is intended to be viewed as a video. I will not edit the written part of this at all, so whatever the AI produces is what it will be. It will likely include many unnecessary clicks that aren't needed in the guide. Watching the video might make it more fluid, but... I've been going into eviivo.

I've been making a note for myself whenever I stop in Todoist.

I stopped after completing June 20th last time. Now, I'll continue with the 21st and show you what I do.

I can make this easier by moving it to the day before.

The first cell or column represents the day before the day I am working on. I do that so I can see all the people checking out on the 21st. It's clear, which means I can also see, more importantly, who's coming in. I can tell that, for example, Longfellow is coming in.

I know that Schultz is referring to a member. If you didn't know that, you could simply look it up in QuickBooks.

Your next step is to open the account in QuickBooks.

We will do a few things here. Here, you'll find the reservation, correct?

It's Longfellow, June 21st, and Peter Schultz. He is a member. Okay. Since he is a member, I do not want him to receive an automated SCI or any SCI.
Ensure there is no email address linked to this account in eviivo, and there isn't.

There is no email here.

Perfect. It's important to ensure the finances match, but that's mainly for reporting purposes, so you don't need to worry about it too much.

If you want to make it match, go for it. There will be many of these in the summer. I need to go through and clear them out at some point. Just go through and finish them. Currently, I'm just trying to balance everything.

I'm working a few days at a time and marking where I stop in Todoist. Longfellow is ready to proceed. It is a member. There is no email in eviivo, so he will not receive an SCI, which is our goal. You can skip guides.
I can immediately tell that's Airbnb by the coloring, right? They are ready to proceed. By the way, Airbnb is a platform that allows people to rent out their homes or spare rooms to travelers. It's a great way to earn extra income and meet new people. To get started, create an account on the Airbnb website or app. Then, list your property by providing details like location, amenities, and pricing. Make sure to upload high-quality photos to attract potential guests. Once your listing is live, you can manage bookings and communicate with guests through the platform. Remember to keep your calendar updated and respond promptly to inquiries to maintain a good host rating. I don't recall exactly when, but there was a time when Airbnb and eviivo were not syncing in the messenger section. They weren't receiving messages from eviivo.
That is fixed, and they are now receiving messages. We are receiving messages in vivo from them. It's working well. I turned off all of Airbnb's automations to prevent them from receiving messages twice, as they were initially. They now only get them from eviivo, but you don't need to worry about that.
If you want, you can ensure the reservation is in QuickBooks, but you don't need to do anything else. Since it's going to Airbnb, there's nothing to check. They will receive the message, and the finances are managed. Next person, please.

Last name is Major. First, check if they have an email address.

No, they don't.

Open QuickBooks and access their account.

It is Sandy Major.
Here she is, and her email is here.

It's a bit annoying. You have to open an email like this in Outlook to copy it, but I just wanted to copy it.

I placed it here. I'm going to include her first name here because it will be referenced in the templates.

It will say, "Hi, Sandy." If there's no first name, it will just say, "Hi!"
I will now hit save.

Okay. Now, I'll click on the payments tab to check the balance.

I will check the balance in QuickBooks, and it matches perfectly.

I suggest clicking back on the guest tab to double-check that the email address saved correctly.

Someone called me earlier today because I had recently spoken with her on the phone. I had told her she would receive check-in details a few days in advance, but she didn't. Since she's checking in on Sunday, she called to find out what was happening. It turned out her email wasn't in eviivo. This is my responsibility. I had processed the payment, including her deposit, and added it to the account because it was a direct booking and not automatically on eviivo. I forgot the email, or it didn't save. I'm not sure.

She wasn't upset, though. It was okay. That's my nightmare. That's what I'm trying to prevent. I'll do a few more.
I'll finish with the 22nd, then I can mark the 25th, as there are no other bookings. Let's begin here.

I'm sorry, but it seems like the transcript you provided is incomplete. Could you please provide more text so I can assist you better? I wondered, "How can one cabin be that expensive?" But actually, it has two cabins. Do you see this? It will be much easier to understand in the video. I don't think it's going to show this on the guide because I'm not clicking right now.
Coolidge here, Louis. Gardner is down here, Louis. They are tied because he booked them both together. He has an email address here.

I will open his profile in QuickBooks.

That's Sean Louis.

Yes, Coolidge and Gardner's $2954.00 is the balance, and that is the correct email.

No need to look any further. He's ready to go.

I don't need to check Airbnb, so I can skip Marjorie DiMaggio, or however you say that. PerkyDaniel.

I can comment on that. I am not going to. This person has an email address and a balance of 869. There we go.

869 and the email address.
Perfect. This goes quickly, you know.

I don't need to check Booking.com. What will you check after Booking.com and Airbnb? They will receive the messages. They will use their messenger, not their email address. The finances are simply what they are.
They won't get any information from eviivo. Our SCI will send it through their messenger directly to them. However, it won't display the finances as shown on eviivo. eviivo accounts for that when they process and send it on. It doesn't send them the exact same thing that a direct booking would receive. We're good.
Sean Louis and Wayne Gardner's tasks are already completed because they were linked to Coolidge. Do you understand what I'm aiming for here? I will stop the video and stop rambling. It doesn't hurt to go behind me, everyone. Can someone check for me? I've missed two so far, and I know I clicked on them.
I know I looked at them. I know I did something. I'm not sure if it's not saving or if I'm just doing half of it and then moving on. I’m not sure. A couple of sets of eyes.
This is new to all of us. I'm trying to stay ahead of the game, but it's tough. I'm going to fall into a routine because, once summer arrives, there's only one day a week to focus on it. Once we get into the fall, it will be much more catastrophic if I'm not doing a good job. Over the summer, I aim to catch up by reviewing and adjusting all bookings for the rest of the year as needed.
Stay on top of modifications and new bookings, whether they come through the phone or in person. Ensure eviivo has an email address and reflects any applied deposits. If you're watching the video, I'm not sure what to say about that. The eviivo is malfunctioning.
