Order Scrubbing Process for Belmont, Medallion, Showplace, and Karman

In this guide, we'll learn how to scrub orders for different manufacturers, ensuring accuracy and completeness in the ordering process. Each manufacturer, such as Belmont, Medallion, Showplace, and Karman, has unique procedures for order verification and modification. We'll explore how to handle quotes, acknowledgements, and necessary changes to maintain order integrity. Understanding these processes is crucial for effective procurement and project management.

For Belmont and Medallion, no changes are allowed to an order once it has been placed in the system. For both Belmont and Medallion cabinetry orders, we enter the order as a quote. Then, we print the quote, and the project manager or head of procurement reviews it with the designer. We first need to verify the globals, which include information universal to the order, such as door style, drawer style, species, and finish. They go through the quote line by line. We need to check each item and ensure all modifications are correct. After completing the scrub on Belmont and Medallion orders, proceed to place the order. Once placed, the order is finalized. That's how we scrub Belmont and Medallion.

Showplace orders are slightly different. We can put the quote and all the information in, then place the order. We will receive an acknowledgment of the order from Showplace. Once we receive the acknowledgment, we have three days to make any changes to the order. At that point, we follow the same process as we did with the other manufacturers. We receive the acknowledgment and print it out. First, we check the globals, then verify each line item to ensure all modifications are correct and all necessary items for the order are included. If no changes are needed for a Showplace order, no action is required. If we need to make changes note the changes on the acknowledgment. Scan the acknowledgment and upload it with the changes to the Showplace website. We will then receive another acknowledgment with those changes.

Our other manufacturer, Karman, uses a different process. Once the quote is made, you place the order. They will send you an acknowledgment, similar to Showplace. However, Karman will not start production on the order until you sign a release form and return it. We take the Karman acknowledgment and print it out. First, check the globals. Then, review all the items to ensure the correct modifications are applied to each one. Finally, confirm that all necessary items are included in the order. If everything is correct, sign the release form, scan it, send it back to Karman, and inform them they can proceed with the order. If changes are needed on a Karman order, note them on the acknowledgment. Scan it in and email the acknowledgment with the changes noted back to customer service. Wait for them to reacknowledge the order with the changes. Once you receive a reacknowledgment, verify that the changes were made and instruct them to proceed.
