Using the Supervision Attendance KPIs Airtable view
Learn how to use the Supervision Attendance KPI view to monitor mentor support call attendance scores, interpret colour-coded metrics, and view accurate median aggregates.
This guide explains how to track and interpret mentor supervision attendance using the Supervision Attendance KPI view. By monitoring colour-coded ratios and community median aggregates, you can quickly identify which mentors and communities require focused support.
This process applies to Mentoring Lead and Regional Lead roles per the Mentor Supervision Attendance Policy & Protocol. Use this workflow during regular compliance checks or when evaluating overall community health.

The KPI score measures the ratio of mentor support calls to one-to-one logs. A score of 1.0 means the mentor attended one call for every two logs submitted (correlates to once every two weeks). The calculation automatically adjusts if an individual is mentoring more than one person.

Understand the Colour Coding
The KPI view uses a strict colour-coding system so you can instantly identify attendance issues.
Color Code | Score Range | Status |
|---|---|---|
Green | 1.0 or higher | Excellent attendance. |
Pale Yellow | 0.8 to 1.0 | Good, but heading in the wrong direction. |
Peach | 0.7 to 0.8 | Needs improvement. |
Mustard Yellow | 0.6 to 0.7 | Poor attendance. |
Red | Under 0.6 | Critical issue; significantly below minimum attendance. |
Grey (Blank) | N/A | Missing logs, or mentoring an MIT man (not relevant). |

See Overall and Community Aggregates
To view the overall score or of a specific community, use the summary functions at the bottom of the Mentor Support Call Attendance KPI column, or to the right of each community grouping.

Q: Why is the KPI score rounded to one decimal point?
A: The single decimal point ensures the scores map accurately to the strict ranges required for the colour-coding rules (e.g., distinguishing between 0.6 and 0.7).
Q: What does a score of 0.0 mean?
A: A score of zero indicates the mentor has not attended supervision at all in the last 93 days.
Q: Why is a mentor's score blank (grey)?
A: A blank score means the KPI is either not relevant (e.g., they mentored an MIT man) or there is a discrepancy with the one-to-one logs they submitted, such as missing documentation.
Q: Why should I use Median instead of Average for the community summary?
A: Because the scores are rounded to one decimal point, using an Average allows high-performing outliers to artificially inflate the community's apparent performance. Median provides a much more accurate picture.
Q: Does the calculation account for mentors with multiple mentees?
A: Yes, the KPI calculation automatically adjusts its requirements if an individual is actively mentoring more than one person.
Term | Definition |
|---|---|
Supervision Attendance KPI | A performance score calculated by dividing a mentor's support calls by their submitted one-to-one logs. |
One-to-one log | A submitted record documenting an individual mentoring session. |
MIT man | A specific mentee program classification where standard supervision tracking metrics are not relevant. |
Median | A statistical aggregate representing the middle value of a dataset, used here to prevent extreme outliers from skewing community health metrics. |
